Every enterprise meeting room portfolio tells the same story if you look closely enough.
Somewhere around 2020 or 2021, the organization deployed whatever hardware was available — fast. By 2023, a few rooms got refreshed with newer platforms. In between, someone in facilities bought a different brand of collaboration bar because the preferred model was backordered. A satellite office made its own decisions entirely. And now, in 2026, the IT team responsible for supporting all of it is managing what amounts to a technology zoo — five variations of “standard,” none of them documented, each with its own failure modes.

The organizations that will actually benefit from AI-enabled collaboration in 2026 are the ones that solve the standardization problem first. Not after. Not alongside. First.
Here is a practical five-step model for doing exactly that.
Step 1: Read the Problem Signals Before Picking Solutions
Most standardization efforts fail because they start with product selection. The room that needs fixing is not actually a hardware problem — it is an accumulation of decisions that were made independently over time, without a shared framework.
Before evaluating a single piece of technology, audit the signals that tell you standardization has broken down:
Support fragmentation. Your help desk has different troubleshooting procedures for different rooms. Technicians need to identify what is in the room before they can begin diagnosing what is wrong with it. Ticket resolution times vary by room type, not by issue severity.
User avoidance. Certain rooms sit empty while others are overbooked. People develop preferences not because of room size or location but because “that room always works.” When users start choosing rooms based on reliability instead of purpose, your portfolio has a trust problem.
Shadow IT. Departments purchasing their own webcams, soundbars, or USB speakerphones because they do not trust the installed system. Every personal device plugged into a conference table is a vote of no confidence in the room standard.
Security blind spots. You cannot answer basic governance questions: Which rooms have active transcription? Where are meeting recordings stored? Which firmware versions are running? If the answers require a room-by-room investigation, that is not a managed environment. That is an inventory exercise.

Platform layer

Hardware layer
Define three to five room tiers based on room size and function, then specify the exact hardware configuration for each tier. Not “a camera and a microphone.” The specific camera, the specific microphone array, the specific display, and the specific control interface.
A practical tier structure for most enterprise portfolios:

Management layer

Transcription and recording governance

A transcript stored in a jurisdiction your data residency policy does not permit creates a compliance violation that no one intended.
Before enabling transcription in any room, establish clear policy on: where transcripts are stored, how long they are retained, who has access, whether consent notification is active, and how deletion requests are handled.

Cisco Webex AI Assistant processes on Cisco infrastructure with strong data sovereignty options. The controls exist. The question is whether your organization has configured them.
Firmware and update governance
Room systems in 2026 are networked endpoints — compute devices connected to your corporate network with microphones, cameras, and access to calendar and identity systems. They require the same patching discipline as any managed endpoint.

The user does not know if the problem was the camera firmware, the network, the Teams client, or the display. They know the room did not work.

Days 1–30: Assess and design
Inventory every room in the portfolio. Document what is installed, what platform it runs, what firmware version it is on, what the last support ticket was, and what the utilization data shows. If you do not have utilization data, that is the first problem to solve.

Days 31–60: Build and validate

Enable cloud monitoring on every pilot room. Establish the baseline for device health, utilization, and ticket volume.

Days 61–90: Measure and iterate
Collect data from the pilot rooms: ticket volume per room, mean time to resolution, user satisfaction (survey or observed adoption patterns), utilization trends, and proactive alert accuracy.
Compare the pilot data against baseline data from non-standardized rooms. The differences in support efficiency and user satisfaction will make the business case for full-scale rollout.
Document every deviation that occurred during the pilot. If the standard required adjustment, update it now — before scaling. The standard is a living document, but changes should be deliberate, documented, and applied uniformly.
Present the results and the rollout plan to stakeholders. The 90-day pilot is designed to produce evidence, not just rooms. Use that evidence to secure budget and organizational commitment for the full portfolio.
The Standard Is the Strategy
The temptation in 2026 is to chase the AI headline. Every vendor at ISE had a story about intelligent cameras, automated meeting summaries, and real-time transcription. The technology is real and it is useful. But none of it delivers value in a room environment that varies floor to floor, building to building, with no consistent governance and no proactive support model.
Standardization is not exciting work. But it is the work that makes everything else — including AI — actually function at scale.
