Why I love utilizing Chat/Instant Messaging in my daily workflow.

Workplaces everywhere are adjusting to the new hybrid work environment and for many, that shift in dynamic has introduced unified communications to their workflow in a very unique way. One incredibly useful asset included in UC is Chat/Instant Messaging.

Communication through chat is nothing new or revolutionary. Studies have shown that on average, messaging is preferred over telephone calls by more than 75%. Certainly, there are a variety of factors behind this but regardless of that – it’s a fact that messaging has become a core facet of our daily communication.

Introducing chat within the flow of the workplace does not signal an end to e-mails. Email has and will continue to serve a primary role in work communication. Whether it’s communication with individuals outside of your organization or internal communication of significant importance, there are a variety of instances in which email is the more appropriate way to deliver your message. However, there are a few instances and reasons that chat has become a preferred method of communication for me.

  1. It’s simple and intuitive. In my personal day-to-day experience, I’ve become accustomed to the ease of use and instantaneous nature of text messaging and virtually all of those benefits translate into the chat we utilize in our office. If the vast majority of my communication outside of work exists within messaging, continuing that communication trend in my workday just simply makes sense.
  2. Studies estimate that the average worker will receive up to 120 emails in a day, many of these include advertisements or emails that are not of immediate importance. My chat inbox is far less convoluted which results in a more streamlined method of checking communications with far fewer distractions. (Pro Tip: I commonly use the CTRL+F function in my chat to quickly locate messages or files, eliminating the need to scroll through chats to find what I need.)
  3. In my opinion, sending content such as images, videos, pdfs, etc. can be a more enjoyable experience via chat. It feels less like a formal attachment in an email and more like a natural flow in my conversation.
  4. It’s housed within the primary communication hub of my workplace. Within the same application that holds my chat is also my phone and video conferencing service. This can create a very streamlined communication experience, enabling me to communicate in the most effective way necessary without needing to leave my current application.
